Project Overview
In May 2026, we were contacted by Mr. Yaqoob, the Managing Director of an Iraqi trading company looking for a more reliable charcoal supplier.
His previous purchasing experience had been affected by inconsistent product quality. Some batches produced an unpleasant odor after burning, while the product surface and overall appearance were not sufficiently uniform. These issues reduced the product’s appeal and created additional difficulties when reselling it in the local market.
The customer needed a supplier that could provide stable product quality, consistent appearance, competitive pricing and a dependable delivery schedule. After approximately two months of communication, he visited our company in Xiamen on July 22, 2026, to evaluate our products, production capabilities and long-term supply reliability.
Following the visit and internal discussions with his team, the customer moved forward with a 27-ton trial order packed in 12 kg cartons.
The Customer’s Previous Purchasing Challenges
The customer was not simply looking for a lower quotation. His main concern was reducing the business risks caused by unstable product performance.
Inconsistent Quality Between Batches
The quality of the charcoal supplied by previous vendors was not sufficiently consistent. Variations between shipments made it difficult for the customer to maintain the same product standard for distributors and end users.
For an importer, unstable quality can lead to complaints, slower inventory turnover and increased pressure from downstream buyers. It can also make repeat purchasing more difficult because each shipment must be evaluated again.
Unpleasant Odor After Burning
Another major problem was the odor produced during or after combustion. An unpleasant smell can directly affect the user experience and reduce customer confidence in the product.
For charcoal products sold through distributors or retail channels, burning performance has a direct influence on repeat purchases. Even when the price is competitive, noticeable odor can damage the importer’s reputation in the local market.
Uneven Product Appearance
The customer also mentioned that the products supplied previously were not sufficiently flat or uniform in appearance.
Irregular surfaces and inconsistent shapes can reduce the visual quality of the finished package. This is especially important for customers who repackage, distribute or resell charcoal under their own brand.
The customer therefore needed products with better appearance consistency, more stable production quality and reliable combustion performance.
Why the Customer Visited Our Company
Before confirming the order, the customer wanted to verify whether our company could support long-term cooperation.
The visit focused on several areas:
Product appearance and dimensional consistency
Burning performance and odor control
Production process and quality management
Raw material and supply-chain stability
Packaging configuration
Production capacity and delivery schedule
Shipping arrangements and freight-cost control
During the meeting, both parties discussed the customer’s previous purchasing problems in detail. This helped us understand that product consistency and supply reliability were more important than offering the lowest unit price.
The customer also needed a relatively short production cycle because delays in replenishment could affect his local sales arrangements.
Our Solution
Based on the customer’s concerns, we proposed a supply plan covering product quality, appearance control, production scheduling and logistics.
Stable Production and Quality Control
To reduce differences between batches, we explained our control procedures for raw materials, production parameters and finished-product inspection.
The production process is managed to maintain consistency in product shape, structure and combustion performance. Finished products are also inspected before packaging to reduce the possibility of visibly uneven or unsuitable products entering the shipment.
This approach helps importers maintain a more consistent standard across different orders.
Improved Burning Experience
The customer was particularly concerned about the unpleasant odor experienced with previous products.
We introduced the production methods used to control the product’s burning performance. Under normal and appropriate use conditions, the products are designed to burn without a noticeable unpleasant odor.
This feature is important for distributors seeking to improve end-user satisfaction and protect their reputation in the local market.
More Uniform Product Appearance
To address the customer’s resale concerns, greater attention was given to product formation, surface appearance and finished-product selection.
A more uniform appearance helps improve the overall presentation after packaging. It also makes the product more suitable for wholesale distribution, private-label packaging and retail sales.
Reliable Supply and Shorter Lead Time
The customer requested a stable supplier capable of completing production within a limited period.
After reviewing the required quantity and packaging format, we proposed a production lead time of 25 days. The order would be prepared in 12 kg cartons and shipped from Xiamen Port under FOB terms.
Our stable supply chain and production scheduling system also provide the foundation for supporting larger repeat orders in the future.
Freight-Cost Discussion
During the negotiation, the customer raised concerns about rising ocean freight rates.
We discussed shipment timing, port arrangements and loading efficiency to help reduce the effect of freight fluctuations on the total purchasing cost. The final shipping arrangement was based on FOB Xiamen, allowing the customer and his logistics partners to retain greater control over international freight booking.
The 27-Ton Trial Order
After reviewing the product, production process and commercial terms, the customer discussed the purchase with his colleagues.
The initial order arrangement included:
Order quantity: 27 tons
Packaging: 12 kg cartons
Trade term: FOB Xiamen
Production lead time: 25 days
Port of shipment: Xiamen Port
The first 27-ton shipment will serve as an important product and market validation order.
After the visit, the customer proceeded with the payment process and actively followed up on whether the payment had been received. This indicated that the cooperation had progressed from supplier evaluation to practical order execution.
At the current stage, the order should be described as being under execution. Claims such as “successfully delivered” should only be used after production, shipment and delivery have been completed.
Customer Feedback
Following the visit, the customer expressed his appreciation for the reception and his interest in developing further business opportunities.
“My friend, I really appreciate your warm hospitality. I hope to see you again the next time I come to China, and I look forward to creating more business opportunities together.”
He also confirmed that he would discuss the charcoal purchase with his colleagues before making the final decision:
“Thank you once again for your warm hospitality. I will discuss the charcoal purchase with my colleagues, and we will make our final decision before we leave the city. I will let you know as soon as we have reached a decision.”
These messages reflected both the customer’s positive impression of the visit and his serious consideration of the proposed cooperation.
Future Cooperation Plan
The 27-ton order represents the first stage of cooperation.
The customer stated that if the first shipment meets the required quality standards and performs well in the local market, future purchases could exceed three full containers.
He also expressed an interest in returning to Xiamen for further visits and business discussions.
The long-term cooperation plan will therefore focus on:
Maintaining consistent product quality
Ensuring stable burning performance
Improving product appearance
Supporting repeat container orders
Providing reliable production schedules
Coordinating packaging and shipment requirements
The objective is to establish a dependable supply relationship that supports the customer’s continued growth in the Iraqi market.
Conclusion
For charcoal importers, supplier selection involves more than comparing quotations.
Inconsistent quality, unpleasant odor, irregular appearance and delayed deliveries can all affect local distribution and customer retention. A reliable supplier must be able to manage product quality, production scheduling, packaging and shipping as one integrated process.
Through direct communication and an on-site visit, we developed a 27-ton trial-order solution based on the Iraqi customer’s actual purchasing concerns.
The cooperation is now progressing through the initial order stage, with the potential to expand into multiple-container purchases after successful product and market validation.
